This privacy policy explains what personal information Ania Photo collects, why, how long it is kept and what your rights are. It covers this website and the photography services I provide.
Who I am
Ania Photo is the trading name of Ania Nicholls, a self-employed photographer based in Chichester, West Sussex. I am the data controller for the personal information described here.
Contact for anything privacy-related: info@aniaphoto.co.uk or 07896 212826.
What I collect and why
When you contact me. If you use the contact form or email or phone me, I receive your name, email address, phone number and whatever you tell me in your message (for example due dates, wedding dates or details about your family). I use this to reply and to arrange your photoshoot. Legal basis: taking steps at your request before entering into a contract, or my legitimate interest in replying to enquiries.
When you book a photoshoot or wedding. I keep your contact details, booking and payment records, the agreement between us, and any details needed to plan the session. Legal basis: performing our contract, and legal obligation for financial records.
Your photographs. Photos from your session are personal data, and often include children and babies. I use them to edit and deliver your gallery and any prints or albums you order. Legal basis: performing our contract.
Portfolio, website and social media. I only use photos from your session to show my work (on this website, social media, competitions or publications) with your permission, and you can say no or change your mind at any time. Withdrawing permission stops future use but cannot undo printed publications. Legal basis: consent.
Website statistics and advertising. With your consent via the cookie banner, Google Analytics measures how people use this site and the Meta (Facebook) Pixel measures the effect of my advertising. Neither runs unless you accept the relevant cookies. Legal basis: consent. See the Cookie Policy for details and to change your choice.
Security and spam protection. The site records technical information such as IP address and browser type to keep it secure and filter spam from forms. Legal basis: legitimate interests.
Who I share it with
I never sell your information. I only share it with services that help me run the business, and only as much as they need:
- WordPress.com (Automattic) – website hosting, including Jetpack and Akismet spam filtering of form submissions
- NitroPack – website speed and content delivery
- Google – Google Analytics, only if you accept statistics cookies
- Meta Platforms – Facebook Pixel, only if you accept marketing cookies
- SafeFrame and Dropbox – delivering your online gallery and storing your photographs
- Google (Gmail) – email
- My accountant and HMRC, for tax records
- Print and album labs, when you order prints or albums
I may also share information if the law requires it.
International transfers
Some of these providers are based in, or store data in, the United States or elsewhere outside the UK. Where that happens, the transfer is protected by safeguards recognised under UK law, such as the UK–US Data Bridge or the International Data Transfer Agreement.
How long I keep it
- Enquiries that do not lead to a booking: up to 12 months, then deleted.
- Booking, contract and payment records: 6 years after the end of the tax year they relate to, as required for HMRC.
- Photographs from your session: kept in my archive indefinitely, so I can supply reprints or replacement copies if you need them. You can ask me to delete them at any time.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information I hold about you
- ask me to correct anything inaccurate
- ask me to delete your information
- ask me to restrict or object to how I use it
- ask for your information in a portable format
- withdraw consent at any time, where I rely on consent
To use any of these rights, email info@aniaphoto.co.uk. I will reply within one month. There is normally no charge.
Children
Many of my sessions include babies and children. Their information and photos are provided by, and handled on behalf of, their parent or guardian, who can exercise the rights above for them.
Complaints
If you are unhappy with how I have handled your information, please contact me first so I can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
I may update this policy from time to time. The date at the top shows when it was last changed.
